Cancellation &
Refund Policy
How cancellations, rescheduling and refunds work for appointments with ANAVA Clinics.
This policy applies to consultations, assessments and therapy sessions (including device-based sessions such as tDCS and tVNS) booked with ANAVA Clinics Private Limited ("ANAVA Clinics", "we", "us"), whether booked and paid for through our online portal at app.anavaclinics.com or at an ANAVA clinic.
Cancellation charges and refund amounts can differ between clinics and appointment types. The terms that apply to your appointment are always shown to you before you confirm a booking or a reschedule.
1. Cancellation and rescheduling
- Up to 6 hours before your appointment: you may cancel or reschedule without charge. When you reschedule, the amount you have paid is carried over to the new slot in full.
- Less than 6 hours before your appointment, or if you do not attend: a cancellation charge applies. The charge depends on the clinic and appointment type, and is shown to you at the time of booking.
- If we need to cancel or reschedule (for example, if a clinician becomes unavailable), we will tell you as early as possible and you may choose a new slot or a full refund.
You can cancel or reschedule through the online portal, or by contacting us using the details in section 5.
2. Refund eligibility
Eligible for a full refund
- Appointments cancelled 6 hours or more before the scheduled slot.
- Appointments cancelled or not delivered by ANAVA Clinics.
- Duplicate payments, or payments taken where a booking was not confirmed.
Eligible for a partial refund
- Appointments cancelled less than 6 hours before the scheduled slot: the amount paid, less the applicable cancellation charge.
- Prepaid multi-session plans: refunds for unused sessions are calculated according to the plan terms shown at the time of purchase.
Not eligible for a refund
- Consultations, assessments or sessions that have already taken place.
- The cancellation charge on late cancellations and missed appointments.
Responses to neurotherapy vary from person to person, so refunds are not linked to clinical outcomes. If you have concerns about your care, please speak to your clinician or contact us. We will always listen.
3. Refund timeline
Once a refund is approved, it is processed to your original payment method within 5–7 business days. Your bank or card issuer may take a little longer to show it on your statement.
4. How to request a refund
Email contact@anavaclinics.com with the subject line "Refund request" and include:
- your name and the phone number or email address used for the booking;
- your booking ID, and the date, time and clinic of the appointment;
- the payment reference, if you have it; and
- a short note on the reason for the request.
We acknowledge refund requests within one working day.
